Are you a highly-driven individual with extensive experience in personalized administrative duties? One of Bali’s leading Boutique Hotels is looking for a Personal Assistant to the Owner(s) to join immediately. 

The ideal candidate is responsible for various crucial tasks aimed at supporting and facilitating the smooth functioning of the Owner’s personal and professional life.  Your role is essential in providing comprehensive support and ensuring efficiency in various aspects of all tasks and complete confidentiality.

Requirements :

  • Open for Local candidates.
  • Proven experience as an executive secretary or similar administrative role for 5+ years.
  • Degree in Business administration or relative field.
  • In-depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry. 
  • Familiarity with basic research methods and reporting techniques.
  • Excellent organizational and time-management skills.
  • Outstanding communication in writing, speaking and negotiation abilities.
  • Integrity and confidentiality. 
  • Personal presentation and attire is of high importance. 

Responsibilities :

  • Make travel arrangements, purchase tickets, book hotels, airport transfer, car rental, etc.
  • Arrange meeting with friends, clients or guests (venue, timing, no. of people)
  • Online shopping for vitamins, items for projects and other items as required.
  • Prepare & pack vitamins for daily consumption.
  • Maintain vitamins stock at least for the next five months.
  • Prepare & maintain stock for powder drink.
  • Do monthly payment for the owner’s apartment & storage fee.
  • Make annual payment for scholarship and health insurance.
  • Buy an audiobook through audible, return titles for credits.
  • Perform typing, printing & editing documents.
  • Do monthly banking reports; (enter manual, itemized, coding)
  • Arrange pilates & personal training schedules.
  • Arrange for hotel guests; room, obtain flight details, transport arrangements, visa & fast track, sim card, etc.
  • Coordinate speaking engagements ; get details of events, speaking duration, travel arrangement, compensation, AV requirement, etc.
  • Arrange annual vaccine, monthly food, grooming, deworm & anti fleas for owner’s pet.
  • Liaise with kitchen staff & housekeeping for any special event ; lunch, dinner, special occasions.
  • Arrange massages & liaise with housekeeping for setting the massage bed.
  • Assist with Iphone, Ipad and printer as and when needed.
  • Order flowers for any special occasions. 
  • Reply on all incoming emails.
  • Create Fixtures & Furnishings list and update with any additions.
  • Send emails and whatsapp for any new addition in the Fixtures & Furnishings list.
  • Email monthly credit card.
  • Sourcing items from overseas. 
  • Arrange doctor and dentist appointments.
  • Complete & send required documents for health insurance claims, do follow up for the reimbursement & make a spreadsheet.
  • Order waffle fabric for towels, send for laundry, then arrange with a tailor for delivery to the property.
  • Process orders for cutleries and coordinate with accounting to arrange deposit payment.
  • Process orders for ceramics and coordinate with accounting to arrange deposit payment.
  • Reminder for events happening today.
  • Arrange Owner’s family arrivals ; car, VOA & fast track (Coordinate with the team for meeting point, car arrangement, etc). 
  • Make new contact cards and share them with the team in the newsletter mailing list.
  • Email new contacts info about all company activities and latest updates.
  • Make a reservation for outside dinner.
  • Arrange for local & international driving license renewal.
  • Arrange for passport renewal.
