Project Manager – Artist Management Company (Ubud)

Our client, an innovative artist management company located in Ubud, Bali, dedicated to elevating the creative journey of contemporary fine art artists is looking for a Project Manager to join their team immediately. 

The ideal candidate will involve facilitating communication between the Director and various stakeholders, managing studio operations, and providing administrative, personal and runner support. This role will directly support the Director. 

Requirements: 

  • Open for local candidates.
  • Preferably a Bachelor’s Degree in Management, Business Administration, or a related field.
  • Minimum of eight years previous experience in a similar role within administration or project management.
  • Strong organisation, attention to detail and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite, project management software, Adobe Illustrator, or Canva (or other similar design software).
  • Ability to handle confidential matters with discretion.
  • Flexibility to work irregular hours and travel as required.
  • Ability to multitask and prioritise tasks efficiently.
  • Fluent in Bahasa Indonesia, proficiency in English, both spoken and written. Knowledge of additional languages is a plus.
  • Familiarity with local suppliers, services, and resources in Bali.
  • Valid driver’s license and have their own bike or car to drive in Bali.
  • Based in Ubud, Bali, or willing to relocate to Ubud, Bali.

Responsibilities:

Project Manager Duties:

  • Oversee Project & Team management
  • Budget Management: Assist in preparing and monitoring budgets, overseeing invoices, and managing expenses.
  • Project Management: Outlining the project requirements, goals and timelines.
  • Manage correspondence, emails, and phone calls on behalf of the Director.
  • Summarise all works and meetings in notes to be submitted to the Director.
  • Organise travel arrangements and itineraries for the Director & relevant stakeholders.
  • Support the Director in personal tasks as needed.
  • Sourcing & procuring products and services for different studios 
  • Conflict Resolution: Address and resolve any issues or conflicts that arise among staff or with clients.

Studio Liaison:

  • Act as the primary point of contact between the Director and artists, clients, and partners.
  • Coordinate and manage studio administration, inventories, schedules, meetings, and appointments.
  • Oversee art handling, transportation, and installation logistics.
  • Assist with project management and ensure timely completion of tasks.
  • Facility Oversight: Maintain the studio and storage facilities, including ensuring that all equipment, studios, and common areas are in good working order.
  • Handle confidential information with discretion and professionalism.
