One of Bali’s leading hospitality groups is looking for a meticulous and organised Procurement Administrator to join their team.

The ideal candidate is highly organised, detail-oriented, and proactive in managing procurement processes. They will support the team in sourcing, acquiring, and coordinating materials for design projects, ensuring cost efficiency, timely delivery, and quality compliance. Strong negotiation skills and the ability to manage supplier relationships are essential for this role.

Requirements :

  • Strong organisational and administrative skills with attention to detail.
  • Knowledge of procurement processes, contracts, and supplier management.
  • Ability to manage multiple tasks and prioritise effectively in a fast-paced environment.
  • Strong communication and negotiation skills.
  • Detail-oriented and proactive in managing procurement tasks.
  • Strong communication skills with the ability to interact with both internal teams and external suppliers.
  • Problem-solving abilities, particularly in resolving procurement issues or delays.

Responsibilities :

  • Manage end-to-end procurement activities for design projects, including sourcing, negotiating, and purchasing materials, equipment, and services.
  • Prepare and process purchase orders (POs), contracts, and supplier agreements.
  • Liaise with internal teams to understand procurement needs and ensure timely acquisition of required goods and services.
  • Ensure all procurement activities adhere to company policies and procedures.
  • Identify and evaluate suppliers, ensuring the quality, reliability, and cost-effectiveness of products and services.
  • Establish and maintain strong relationships with vendors and suppliers, negotiating favorable terms and pricing.
  • Monitor and manage the inventory of design materials, equipment, and tools, ensuring that stock levels are sufficient for ongoing projects.
  • Maintain records of all procurement activities, including purchases, payments, and supplier communications.
  • Keep accurate records of all purchase orders, invoices, receipts, and relevant documentation.
  • Maintain a procurement database or system to track and report on procurement activities and project requirements.
  • Provide regular procurement reports to the Design Department leadership, including status updates on orders and inventory levels.
