The ideal candidate has strong administrative and financial skills, is detail-oriented, and enjoys supporting creative and dynamic environments. A background in fashion or garment production is highly desirable. This is a multifaceted role that requires flexibility, initiative, and a problem-solving mindset.
Requirements :
- Open for local candidates.
- Minimum two years of experience as a Personal Assistant to a Director or CEO of a large company. At least one year of experience in administrative roles, experience in a Western company is preferred.
- Preferably has worked in a garment production or fashion-related company.
- Strong eye for detail, works in a structured and organised manner.
- Comfortable communicating with both internal teams and external partners, including across time zones.
- Strong numerical skills and financial acumen; able to process and control financial documents.
- Excellent written and spoken English.
- Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Trello, Monday).
- Good knowledge of Excel (e.g., managing databases, inventory tracking, and budgets).
- Familiar with Shopify, calendar management, and online document platforms.
- Affinity for AI tools and interested in learning and implementing digital solutions.
- Passionate about sustainability and aligned with the brand’s values.
- Independent, self-motivated, and confident in contributing ideas for improvement.
Responsibilities
- Support the CEO/founders with daily operations, task prioritisation, and ongoing project management.
- Maintain and update to-do lists and create manuals for recurring administrative processes.
- Provide day-to-day support including scheduling meetings, calendar management, and task coordination.
- Manage communication with suppliers, production teams, staff, and external stakeholders.
- Monitor raw material inventory, track shipments, and suggest timely re-orders.
- Coordinate with creative teams for product development and branding support.
- Provide financial administrative support:
- Set up payments (e.g., via Wise).
- Check invoices, packing lists, shipping documents, and receiving forms.
- Match financial transactions with invoices and coordinate instructions for the accountant.
- Conduct regular checks on financial records and ensure accuracy.
- Support HR functions such as onboarding, internal documentation, and team communication.
- Run general errands, assist with document submissions (e.g., for permits or applications), and provide all-round operational assistance.
- Contribute ideas for internal efficiency improvements, new tools, and process optimisations.
